Growth plans and balances work across projects. Enterprise adds the economics of the portfolio: the cost of delay on every task and project, and the resource move that removes the most of it, tested before you commit.
Need a price on every delay? Cost of delay, bonus and penalty, cash flow forecast and What-if scenarios come with Enterprise. Move up when your portfolio needs them.

Put the license in context
Compare the license with one week of delay
Fifty Enterprise users cost €27,000 a year at the annual rate. What does one week of delay cost on your largest project? If you can't say, that is the first number Epicflow gives you.
A year of Epicflow for 50 users costs the same as 3.4 working days of delay on that project.
Enterprise at €45 per user per month, billed annually. Optional modules not included.
How licensing works
Two kinds of users, priced differently
You license the people who log in to Epicflow. On Enterprise portfolio licensing, from 100 users, people who only update their own tasks and hours take a limited-access seat, at a fraction of the full-access price.

Drag and Drag Cost
See how many working days each task delays its project, and what that delay costs. Drag, Drag Cost and Slack are shown per task in the Task List, so you know which task to shorten first.
Not included
Included
Return on Remaining Investment (RRI)
Check whether a project is still worth finishing, given what is left to spend. RRI is shown as a multiple next to ROI, and builds on Stephen Devaux's work on projects as investments.
Not included
Included
Priced milestone slips
See a late milestone that blocks another project as money at risk, not just a red bar. Epicflow prices the slip through RRI and project profit, so you act before the delay compounds.
Not included
Included
Bonus & Penalty schemes
Define schemes in linear or table mode, with grace period, starting rate, escalation per period and cap. Start from built-in schemes or create your own, including penalty-only, and test any scheme in the Project Impact Simulator before you apply it.
Not included
Included
Predicted bonus and penalty
See a penalty coming while there is still time to prevent it. Epicflow calculates the actual amount when a due date changes, and the predicted amount every time a prediction runs.
Not included
Included
Budget tracking
Track Approved Budget, Actual Costs and Remaining Budget on the Pipeline, next to the schedule. A negative Remaining Budget flags an overrun at once.
Not included
Included
Project revenue and margin
Set revenue per project and see actual and predicted revenue, bonus and penalty in the same row as the schedule. Margin comes from your own rates.
Not included
Included
Payment milestones
Attach payments to milestones: a fixed amount, a percentage of contract value, the remaining amount or a recurring monthly amount. When a milestone moves, the invoice moves with it.
Not included
Included
Invoice forecast and Cash Flow
Forecast invoices by milestone date, and cash after your payment terms, for the whole portfolio or any set of projects. A forecast built from your schedule, revenue and payment plans, not a record of bank balances.
Not included
Included
Finance columns on the Pipeline
Save a set of Budget, Revenue and Bonus & Penalty columns per user, so finance and the PMO read the same portfolio in their own terms.

Configurable Pipeline
Read the portfolio in the columns your business is judged on, including custom fields and attributes, saved per user, so the PMO and finance work from one view in their own terms.

Included
Included

Store reusable task structures and drag them from the Pipeline toolbar straight into a plan.
Not included
Included
Project change history

Project groups
Organize projects into multi-level groups, like programs and portfolios but more flexible. A separate permission group controls who can see and manage them.
Not included
Included
Advanced project buffer and risk management
Set each project's buffer to how complex and uncertain you judge it to be. Riskier projects rise in priority sooner, so they get resources before their dates slip. The buffer changes priority only, never milestone dates.

Included
Included
Load Analysis
Size an overload in FTE for any group and period, and see which projects drive it, so you know exactly how short the group is.
Included
Included
Bottleneck Analysis
Rank overloaded and underused resource groups over any period, so you fix the biggest bottleneck first. On the Enterprise plan, the Task List adds Drag Cost per task, so you see what each delaying task costs the project.
Included

Group resource teams into multi-level clusters that mirror your organization, and analyze workload and performance at every level.

Advanced resource group buffer and risk management
Set a risk factor per resource group, for example higher for R&D than for production, so task buffers and priorities reflect how reliable each group's estimates are.

Included
Portfolio Dashboard
See project status by priority, hours in execution and expected due date performance for the whole portfolio in one view, filtered by resource group.
Not included

Portfolio ordering by business value
Give each project a business value and let Epicflow order the portfolio, so the highest-value work goes first.
Not included
Included
Project staggering
Start projects in an order your people can actually absorb. EPO sequences starts by business value and the capacity of your constrained resources, and shows the effect on every other project before you commit.
Not included
Included
What-if Analysis
Try a change on a copy of the plan first, without touching live data. Because the copy runs on real resource capacity, you see what it does to the dates of every other project, not only the one you changed.

Interproject relations
Link milestones across projects to manage dependencies. When a shared milestone slips, Epicflow prices the delay through RRI and profit in the dependent project.

FAQ
Pricing questions, answered
How is Epicflow priced?
Per user, per month. You license the people who log in to Epicflow. There is no per-project or per-portfolio fee, and annual payment takes 10% off.
Who counts as a user?
Anyone who logs in. On Enterprise portfolio licensing, people who only update their own tasks and hours take a limited-access seat at a fraction of the full-access price. Equipment and other resources without a login are planned as capacity.
What is the difference between Growth and Enterprise?
Growth plans and balances work across up to 50 projects for 20 to 50 users. Enterprise adds the economics of the portfolio: cost of delay per task and project, bonus and penalty predicted in advance, revenue and cash flow forecast from the schedule, and What-if scenarios on real capacity.
How do we start?
Two ways. Start a 30-day trial on your own projects, or start at half price: we agree three delivery metrics with you before go-live, and you pay half the license price until they are met.
What costs extra?
Four optional modules are priced separately: the Epica AI assistant, AI resources, the REST API and the Jira interface. Implementation, training and consulting are quoted separately.
Can we pay monthly?
Yes. Pay monthly, or pay annually and take 10% off.
Can we move from Growth to Enterprise later?
Yes. Start on Growth and move to Enterprise when your portfolio needs the economics.
Where is my data hosted?
Hosted on ISO 27001-certified infrastructure. Epicflow runs as a managed cloud service, as a dedicated regional deployment with data and backups kept in the region, or as a customer-managed installation inside your own environment.
How is project data protected?
Permission groups control who can see and change projects, resources and project groups. The platform is penetration tested regularly by one of our UK defense clients as part of that client’s own Ministry of Defence approval process. Every client engagement is covered by a signed GDPR data processing agreement.
Does Epica send our data to OpenAI?
Epica runs on OpenAI GPT-4o. Prompt content is sent to OpenAI’s hosted service, is not used to train models, and may be kept in OpenAI’s logs for up to 30 days. For data residency requirements, Epica can run against a model inside your own environment on an on-premises deployment, or against a model endpoint you provide.
Which tools does Epicflow connect to?
Microsoft Project through the Epicflow plugin, Oracle Primavera P6, and CSV import and export. The Jira interface and the REST API are optional modules.
Do you have references in regulated industries?
Yes, in defense, engineer-to-order and machine building, automotive and software. Customers include the Dutch Ministry of Defence, QinetiQ and Fokker Services.
